Urbanise Strata Update (93)

Today's update includes a new Common Property Contract report, the ability to view system email templates and 3rd party integration with Zapier.

Features

Common Property Contract Report

To generate the new Common Property Contract report, view a Rental Agreement on a Common Property in the Common Property Register. The report can be generated in PDF format or DOCX format to allow for edits. For more information see FAQ | Common Property Contract Report

Email Templates

A new screen is now available to view email templates. To view the new screen, navigate to Settings > Company Details > Email Templates.

The 'From' address for the following emails may be edited from this screen:

  • Levies - Levy Notice

  • Debtors - Collections

  • Debtors - Level 1

  • Debtors - Level 2

  • Debtors - Level 3

  • Debtors - Level 4

The following email templates may be viewed and cannot be edited:

  • Suppliers - Invoice Paid

  • Suppliers - Invoice Received

  • Owners - Scheduled Report

  • Manager - Work order assigned to a property

  • Committee - Invoice Approval

  • Users - FTP Confirmation

  • Users - Payroll Commission Export

  • Manager - Scheduled Report Disabled

  • Manager - Scheduled Disbursement Disabled

  • New Task Assigned to User

  • Suppliers - Invoice not Approved

  • Fraud Detection

  • Levies - Receipt

  • Users - Insurance Commission Variance

  • Cashflow - Warning

3rd Party Integration with Zapier

Zapier is a 3rd party integration service that allows software companies to build applications that can be used to connect various web services.


To view the Zapier integration screen, navigate to Settings > 3rd Party Systems > Zapier.

Use the Generate New Token button and use the generated token to link your Urbanise account in the Urbanise Strata Zapier app.



Cash Payments Journal

The Cash Payments Journal now displays in the updated format.


To generate the new Cash Payments Journal navigate to Reports > General Finance. The report can be sorted by invoice date and filtered to include one or multiple payment types.



Other Enhancements


Holding Accounts

  1. When adding a Holding Account as a category, the transaction will now exclude GST by default since GST does not apply to internal transfers.

  2. Validation has been added to prevent editing or deleting Holding Account transactions where an Accounts Payable or Accounts Receiveable transaction was created.

Account Lock Date

When adding a new property, the lock date will automatically be set to 90 days after the end of the financial year.


Blacklisted and Preferred Suppliers

The information saved under the Compliance tab of a supplier now displays when viewing a blacklisted or preferred supplier under Property > Units and People, the Supplier Compliance. The information includes:

  • Licenses

  • Public Liability Insurance

  • Other Insurance


BAS Returns

A prompt will display when setting up a new BAS period where no properties are registered for GST:


A new BAS period is unable to be created as there are no properties with correctly configured GST settings. Please ensure that all properties that are registered for GST have their tax settings correct on the “Accounting Settings” screen.


Task Triggers: Commence Debt Collection

The default days before expiry can now be modified for the Commence Debt Collection. task trigger.


General Ledger

When viewing the General Ledger a new option is available to view the details of Accounts Payable transactions. When clicking on the Accounts Payable Invoice link a new tab opens to display the details.


Scheduled Disbursements

Validation has been added to ensure the amount of a scheduled disbursement is more than $0.00.


Region-specific Terminology

Region-specific terminology has been added for the Dubai region.


Levy Receipts Live Report

When there is no data to display in the Cheque /Trans # column of the Live Report > Levy Receipts the column will not be visible.


Owners Corporation Roll

The Owners Corporation Roll report (Strata Roll) has been updated with the following changes:

  • The column previously named Level has been renamed to Floor in the Entitlement Information table

  • When the current owner has an Associated Contact who is a committee member, details of the associated contact's committee membership will display under Current Owner Details

  • The Original Owner Information section was duplicated and this has been resolved

  • Deleted email addresses no longer display in the report


Abu Dhabi Commercial Bank integration (Dubai Region)

Further integration has been added to facilitate payment responses and updating of transactions for payment files received from Abu Dhabi Commercial Bank.


Fixes

  • An issue with imported invoices in Invoice Processing being added to the HOLD queue when there is no note has been resolved.

  • When viewing a preferred supplier in Property > Units & People > Preferred Suppliers the email link was duplicated. This issue has been resolved.

  • Text misalignment of Financial Year Ends and dates on the Dashboard has been resolved.

  • An issue with Common Property Rental invoices not being updated with updated lease details has been resolved.

  • An issue with the date picker (calendar) not showing on some screens has been resolved.

  • An issue with the vertical scroll bar not being available on owner contact screens has been resolved.

  • When filtering the Property > Files list by User, the last record in the displayed list of users was hidden in some instances. This layout issue has been resolved.

  • When creating or editing an Accrued Expense in Accounts Payable, negative amounts did not display the minus symbol on the screen. This issue has been resolved.

  • Opening a task from the Task List view resulted in the Linked status of the open task not displaying in the Task List view. This issue has been resolved.

  • After filtering the Management Agreement Disbursements screen to display a single group, the filter name was not reset to All when selecting a different property. This issue has been resolved.
