Urbanise Platform Update: 29/10/2015

Today’s update enhances the Urbanise platform’s ability to visualise planned jobs. Whether you have maintenance (job) plans for service packages bought through the online store or maintenance plans for locations and assets, our new 52-week Planner allows an Operator to view the schedule of planned jobs over a 52 week forward looking period. Used by many of our customers in the Building and Facility Management industry, the first release of the Planner provides a rich visual of your planned work. It optimises FM processes using simplified and new approaches to tracking planned work, further enhancing the maintenance of your buildings and assets.

The Planner represents the count of jobs due on any day/week using a coloured ‘heatmap’ to indicate the activity for a particular day/week. The busier a day is, the darker the day’s tile is which means you have more jobs on that day compared to lighter coloured days.

To the right of the Planner is the heatmap legend to refer to the scale.

A visual (red) marker is used to indicate jobs that are due on the same day for the same location address or asset. Information at a glance to notify you that there may be a clash of maintenance work being scheduled for the day.

The Planner allows an Operator to select a day or week and see the summary of jobs that match their filters. Selecting the “detail” icon will present more details about the jobs for the selected day. Job details include the priority of the job, the job (name) itself, the location address, the frequency of the job (ie. 6M = every 6 months; 2W = every 2 weeks) and the completion date of the previous job in the plan.

The Planner has flexible filtering options so an Operator can find the specific jobs they are after. Filters can be added and removed at any stage and the Planner automatically refreshes to show the matching jobs. Filters are remembered for the logged in Operator so that when accessing the Planner from another device or resuming from log out, the Operator’s filters are preserved.

We will be adding more functionality in future updates to enhance the user experience of the Planner including

  1. representing the heatmap by job duration (ie. workload)

  2. cancelling planned jobs on a specific day (that may have been missed and are late in the plan’s maintenance cycle)

  3. moving jobs from one day to another and

  4. allowing Operators to save their common filters for future use

These are just a few enhancements that are coming soon…

Be notified instead of waiting…

Extending planned jobs from a forward looking 6 month window to a 52 week period means that some actions like creating job plans for example will take longer to process. For many potentially long running tasks, we have given Operators the option not to wait for the task to complete. The platform will email the Operator once their task has completed where they can access a link to view their completed action.

If Operators want to check on their task’s activity, they can view the new “Notifications” area that is accessed from their Account name just beside the Settings menu. They will be able to see if their task is still in progress, completed or failed for some unexpected reason.

Update the address of a package order

It is possible to set an address for an order that does not yet have an address or change the current address. This allows catalog packages to not need an address on purchase, leaving it up to the Operations Center to attach the address when processing the order.

Updating job plans

For location and asset based job plans, it is possible to update the available job parameters for all future jobs that use the same Job Template. For example you may need to update all jobs of type “AC Maintenance” for your asset plans. By filtering the job plans by Job Template, an operator can select the bulk action “Change job parameters” to update the following:

  1. Work instructions for the job

  2. Agent to be auto-assigned to the job

  3. Agent to be auto-assigned to the work order

Once changes are applied, the platform will update all future jobs (for the filtered job plans) with the new parameters.
